Cancellation Policy

This Cancellation Policy governs all cancellations, modifications, and refunds for bookings made with Bainbridge Adventures. By completing a booking, you acknowledge that you have read and agree to this policy. This policy is incorporated by reference into our Terms and Conditions.

1. Cancellation Deadlines and Refund Eligibility

1.1 Full Refund

Cancellations submitted at least 48 hours before the scheduled experience start time are eligible for a full refund of the amount paid. Refunds will be processed to the original payment method within a reasonable timeframe following confirmation of cancellation.

1.2 No Refund Window

Cancellations submitted less than 48 hours before the scheduled start time are non-refundable. No exceptions will be made for late cancellations, including those resulting from personal emergencies, illness, travel delays, or changes in plans, except as expressly provided in Section 3 (Weather Policy) of this document.

We strongly recommend that all guests obtain travel insurance to protect against unforeseen circumstances that may prevent participation.

1.3 No-Shows

Failure to appear for a scheduled experience without prior cancellation will be treated as a late cancellation and is non-refundable.

2. Modifications and Rescheduling

Requests to modify a booking, including changes to date, time, participant count, or tour type, must be submitted at least 48 hours before the scheduled start time. We will make reasonable efforts to accommodate modification requests received within this window, subject to availability, but cannot guarantee that requested changes can be made.

Modification requests received less than 48 hours before the scheduled start time cannot be accommodated. In such cases, the original booking terms apply, and no refund or credit will be issued for unused portions of the experience.

3. Weather Policy

Certain experiences require suitable weather conditions for safe and enjoyable operation. Bainbridge Adventures reserves the sole and final right to determine whether weather conditions are adequate to proceed with a scheduled experience.

If we cancel an experience due to weather or other conditions beyond our control, you will be offered your choice of:

Rescheduling: A replacement booking at a mutually agreed upon date and time, subject to availability.

Full Refund: A refund of the full amount paid, processed to your original payment method.

Weather-based cancellations initiated by the guest rather than by Bainbridge Adventures are subject to standard cancellation terms and do not qualify for a weather-related refund or reschedule outside of those terms.

Bainbridge Adventures is not responsible for any incidental or consequential costs incurred by guests in connection with a weather-related cancellation, including but not limited to transportation, accommodations, or other expenses.

4. Time Zone

All cancellation and modification deadlines are calculated based on the local time of the experience location. It is your responsibility to account for any time zone differences when submitting a cancellation or modification request.

5. How to Cancel

All cancellation requests must be submitted in writing by email to bainbridgeadventures@gmail.com. Please include your name, booking reference, the name of the experience, and the scheduled date and time.

Cancellations are effective only upon receipt of written confirmation from Bainbridge Adventures. Requests submitted but not confirmed by us are not valid cancellations, and the standard no-refund policy will apply if the 48-hour window has passed. We recommend requesting a confirmation response if you do not receive one within a reasonable time.

Verbal cancellations, including those communicated by phone or in person, are not accepted and will not be honored.

6. Cancellations Initiated by Bainbridge Adventures

Bainbridge Adventures reserves the right to cancel any booking at our sole discretion, including but not limited to situations involving safety concerns, staffing limitations, low booking volume, or force majeure events. In such cases, guests will be offered a full refund or a rescheduled booking at no additional cost.

We are not liable for any costs, losses, or damages beyond the amount paid for the booking itself arising from a cancellation we initiate.

7. Refund Processing

Approved refunds will be processed to the original payment method used at the time of booking. Processing times vary depending on your payment provider and may take up to 10 business days to appear in your account. Bainbridge Adventures is not responsible for delays caused by your financial institution.

8. Governing Law

This Cancellation Policy is governed by the laws of the State of Washington and is subject to the dispute resolution provisions set forth in our Terms and Conditions.
